Administration Assistant (Production Oversight & Aircraft Deliveries)

About Your Job:

You will be providing administration support for the smooth functioning of Aircraft Deliveries Section on a daily basis and assist in improving the efficiency of various existing work functions including the handling of the confidential issues which require a high degree of discretion. You will liaise with other departments for arranging the logistics of resources.

Your Key Accountabilities include:


  • Perform advanced, diversified, and confidential administrative and secretarial support. Handle a wide variety of situations and tasks involving the clerical and administrative functions of the office.
  • In consultation with the team generate business documentation, including presentation creation and spreadsheet preparation and distribution.
  • Prepare charts and compile reports as needed and ensure that all files are complete and properly maintained.
  • Perform administrative tasks based on set procedures, establish and maintain filing systems, categorise and maintain manuals, invoices, manage and co-ordinate travel needs and other source data.
  • Research information and initiate assigned tasks accordingly.
  • Respond to complaints and requests for information and assistance, interpret and explain procedures and policies pertaining to internal inquiries of staff.
  • Attend and take notes at meetings, coordinate travel arrangements, records of Communication (documents, E-mail) to meet the requirements of the team.
  • Assist to update new staff details through IT section for providing them access to various IT systems.
  • Provides assistance to arrange acquired office equipment for new and existing staff.
  • Ensure that all office equipment such as fax machines, photocopiers, scanners, telephones, etc. are in working order.
  • Provides assistance in the process and maintain all staff records, overtime, leave applications, security passes of all staff in aircraft deliveries section. Maintain Read and Sign notices for all staff.
  • Support in the process/arrange staff duty travel papers (exit permits, tickets, per diem allowances, hotel and visa’s).
  • Support in the process and arrange visitor’s visa, air tickets, hotel and security passes.
  • Maintain proper filing system for all the correspondence generated to and from the Aircraft Delivery Section.
  • Assist in the preparation and distribution of correspondence, send faxes and reply to emails and telephone calls.

About You:

Qatar Airways are looking for a Relevant Vocational, Tertiary or Trade qualification who has a minimum of 3 years of relevant experience. We prefer candidates who have Bachelors degree or equivalent. A tertiary HR/Administrative qualification would be an advantage. You should have good experience in Database administration with excellent written and verbal communication skills.

You should be self-motivated and highly organized with strong interpersonal and team working skills. You must have good computer skills including Microsoft Word, Excel and PowerPoint.
